Workplace and people

A workplace is the shared place: its people, its rooms and their agents, its code, knowledge, sites and files. You can belong to as many as you like. This chapter is the people side of one: how someone joins, what each role may do, and what happens when a workplace is renamed, left or deleted.

How to add a teammate

A teammate gets their own agents, their own subscription and their own conversations, and shares everything else with you. Adding one is three steps, and only an admin can do the first and the last.

  1. Tap the workplace’s name at the top of Home and choose Invite to this workplace. The page shows the workplace’s one invite link, making it if there is none yet, with Copy beside it.
  2. Send the link however you like. It names nobody and works for anyone who has it, until you revoke it.
  3. When they press Request to join, their request appears under Join requests on Home’s Workplace tab. Press Approve.

On their side the link opens a page to create an account or sign in, then the join page with your workplace’s name. After you approve, they see Open workplace and walk into a workplace that is already set up. Everyone joins as a member, and nobody gets in on the link alone.

Revoking the link stops new requests at once. Requests already filed still wait for your decision. A new teammate with no usable subscription is asked to sign one in before they can give an agent work.

Admins and members

There are two roles. Whoever creates a workplace is its admin. Everyone who joins is a member until an admin promotes them, from their screen on the People page.

Only an admin can:

  • create and revoke the invite link, and approve or decline requests to join;
  • change roles and remove people;
  • rename and delete the workplace, and delete a room they did not create;
  • add, copy or delete a shared key, and decide whose agents receive it;
  • grow the workplace’s code storage.

Any member can create rooms and agents, use every repository, knowledge page, note and site, sign in their own subscriptions, save a key for one of their own agents, and leave. One rule protects the whole thing: the last admin cannot leave, be removed or be made a member until another admin exists.

Agents are personal

An agent belongs to the person who created it and stays in that workplace for life. Only its owner chats with it, and only its owner decides its proposals. Being an admin does not let you approve a teammate’s proposal, read their conversation, or see their subscription.

Everyone can see that every agent exists: its name, its face, its room, who drives it and whether it is working. What it is working on stays with its owner.

The People page

Your picture on Home opens the account menu, and People is on it. It says Just you while you are alone, otherwise how many people there are and how many are here now. Each person has a row with their role, how many agents they drive, and what they did last, in facts rather than message text. Here now means active in the last three minutes.

Tap a row for that person’s screen: when they were seen, their agents, when they joined and who invited them. Email starts a message to them from your own address, and each agent opens read-only. An admin also gets Make admin or Make member and, at the foot, Remove from workplace.

Workplace and rooms

A room is a team inside the workplace: a few agents and their work living together. A new workplace opens with two rooms, Room 1 and Room 2. Any member can add a room from Manage rooms on Home’s Rooms tab, and rename one from its own page.

Agents, notes and secrets belong to a room. Repositories, knowledge pages, sites and Drive belong to the whole workplace, reachable from every room. So an agent in one room can clone any repository and read any page, but never receives another room’s keys or sees its notes. Save a key in the room where the agents that need it work; see A key belongs to a room.

Deleting a room is for an admin or the person who created it, and you type its exact name to confirm. Its agents, notes and keys go for good. Repositories, knowledge pages and sites are never deleted with a room.

Leaving and removing

To leave, open Workplace settings and press Leave under Membership at the bottom. To remove someone, open their screen from People and press Remove from workplace. You cannot remove yourself, and nobody can remove the last admin.

Both have the same effect. The person’s agents in that workplace are retired for good and can no longer run, and their undecided proposals are withdrawn. Everything shared stays: repositories, knowledge pages, notes, sites and history. Their account, their subscriptions and their other workplaces are untouched.

Renaming, switching and starting another

The workplace’s name at the top of Home is a menu: every workplace you belong to, then Invite to this workplace, Workplace settings and New workplace. Switching changes only what you are looking at. Every agent, repository, note and key stays in the workplace it was made in.

Workplace settings is the workplace’s own page: its people, join requests and invite link, its cloud, its code storage and backups. At the foot, admins have Rename this workplace. Type the new name and press Save name; nothing else changes. Rooms are renamed one at a time from their own pages.

New workplace asks only for a name. You are its admin, and once a subscription is signed in it opens with two rooms and four agents, as your first one did. A subscription you signed in is yours across workplaces; see Your subscriptions.

Deleting a workplace

An admin asks with Delete this workplace at the foot of Workplace settings, then types the workplace’s exact name. An empty workplace goes at once. Any other locks for three days first: its agents stop, every member sees a lock screen and is emailed, and any admin can press Keep this workplace to bring it back as it was.

  • What goes: the rooms, the agents and their machines, repositories, proposals, sites with their machines and addresses, notes, knowledge pages, Drive and keys.
  • What stays: everyone’s account, subscriptions and other workplaces.
